Refund, Cancellation and Course Transfer Policy

This Refund, Cancellation and Course Transfer Policy applies to registrations made with HNS First Aid & CPR (“HNS,” “we,” “us” or “our”).

Please review this policy before registering. By completing a registration or payment, the purchaser and participant acknowledge that they have reviewed and accepted this policy.

Nothing in this policy limits any non-waivable rights or remedies available under applicable consumer-protection law.

1. Booking Confirmation

Submitting an inquiry or registration form does not necessarily reserve a seat.

A booking is confirmed only after:

  1. HNS has received the required registration information;

  2. Full payment, or an approved payment arrangement, has been received; and

  3. A booking confirmation has been issued by HNS.

Course seats are subject to availability.

2. Participant Cancellations

Cancellation requests must be submitted in writing by email and must include:

  • Participant’s full name

  • Course name

  • Original course date

  • Telephone number

  • Payment receipt or transaction information

  • Reason for the request, where relevant

The date and time that HNS receives the written request will be used to determine eligibility.

Cancellation at least seven calendar days before the course

When written notice is received at least seven calendar days before the scheduled in-person course date, the registrant may choose:

  • A refund of the course fee, less a $25 administrative fee; or

  • A one-time transfer to another available course date without a transfer fee.

Cancellation between 48 hours and seven calendar days before the course

When written notice is received at least 48 hours but less than seven calendar days before the scheduled course:

  • No cash refund will normally be provided; and

  • The registration may be transferred once to another available course date, subject to a $25 transfer fee.

The replacement course must normally be attended within six months of the original course date.

Cancellation less than 48 hours before the course

Cancellations received less than 48 hours before the course are not eligible for a refund, credit or transfer except where required by law or approved by HNS due to exceptional circumstances.

3. No-Shows

A participant is considered a no-show when they:

  • Do not attend the scheduled course;

  • Arrive after the permitted entry time and cannot be admitted;

  • Leave before completing required course components;

  • Attend without completing a required online module;

  • Fail to bring required identification or prerequisite documentation; or

  • Are removed for unsafe, disruptive or inappropriate conduct.

No-shows are not eligible for a refund, credit or transfer.

A new registration and payment will normally be required.

4. Blended and Online Courses

Blended courses may include an online component that must be completed before the in-person session.

Once an online-course access link, access code or digital course material has been issued or accessed:

  • The online portion is considered supplied;

  • The applicable online or digital fee is non-refundable; and

  • Any permitted refund may be reduced by the value of the online component and applicable administrative fees.

Failure to complete the online component by the stated deadline does not entitle the participant to a refund.

Where space is available, HNS may approve a one-time transfer when the request is received at least 48 hours before the in-person session. Additional online-access or transfer fees may apply if a new access code is required.

5. Course Transfers

Approved transfers are:

  • Subject to seat availability;

  • Limited to one transfer per registration;

  • Valid only for the participant originally registered, unless a substitution is approved;

  • Normally required to be used within six months;

  • Not redeemable for cash; and

  • Subject to any difference in course price.

When transferring to a more expensive course, the participant must pay the price difference.

When transferring to a less expensive course, the difference is not normally refunded but may be retained as course credit at HNS’s discretion.

Failure to attend the transferred course will result in the loss of the registration and all amounts paid.

6. Participant Substitutions

A purchaser may request to substitute another eligible participant at least 24 hours before the course.

Substitutions are subject to:

  • Course prerequisites;

  • Certification-provider requirements;

  • Completion of required registration documents;

  • Completion of any online component;

  • Approval by HNS; and

  • Payment of any applicable administrative or online-access costs.

Certification records cannot be transferred after a course has been completed.

7. Illness and Emergencies

Participants who are unwell, experiencing symptoms of a contagious illness or unable to participate safely should contact HNS as soon as possible.

Documented emergencies may be reviewed individually. Depending on the circumstances, HNS may offer:

  • A course transfer;

  • A time-limited course credit;

  • A partial refund after deducting unrecoverable costs; or

  • Another reasonable resolution.

Approval is not guaranteed. Supporting documentation may be requested where appropriate.

8. Late Arrival

Participants must arrive by the time shown in their booking confirmation.

Because minimum instructional hours and course components may be required for certification, late participants may be refused entry. Refusal of entry due to late arrival will be treated as a no-show and will not qualify for a refund or transfer.

Participants should plan for traffic, parking, weather and public-transit delays.

9. Failure to Meet Course Requirements

Payment and attendance do not guarantee certification.

A refund will not be issued when a participant does not receive certification because they:

  • Do not meet attendance requirements;

  • Do not successfully complete an examination or skills assessment;

  • Do not demonstrate required competencies;

  • Do not complete the online component;

  • Do not satisfy course prerequisites;

  • Cannot participate safely in required activities;

  • Provide inaccurate registration or prerequisite information; or

  • Violate course conduct or safety expectations.

Where permitted by the applicable training program, HNS may offer reassessment or retraining for an additional fee.

10. Cancellations or Changes by HNS

HNS may cancel, postpone, relocate or reschedule a course because of:

  • Insufficient enrolment;

  • Instructor illness or unavailability;

  • Severe weather;

  • Facility issues;

  • Public-health or safety concerns;

  • Technology or online-platform problems;

  • Events outside our reasonable control; or

  • Training-provider or regulatory requirements.

When HNS cancels a course and cannot provide a suitable replacement date, the registrant may choose:

  • A full refund of the course fee paid to HNS; or

  • A transfer to another available HNS course.

When HNS changes the date or location and the participant cannot reasonably attend, HNS will offer a transfer, credit or refund as appropriate.

HNS is not responsible for indirect expenses such as lost wages, childcare, transportation, parking, accommodation or other costs incurred in connection with a cancelled or rescheduled course.

11. Weather

Courses will proceed unless HNS advises participants otherwise.

Participants should not assume that a course is cancelled because of weather. Any cancellation or schedule change will be communicated using the contact information provided during registration.

When a course proceeds but a participant decides not to attend because of weather or travel conditions, the standard participant-cancellation rules apply. HNS may provide flexibility where conditions are severe, but this is not guaranteed.

12. Corporate and Private Group Training

Corporate, workplace, onsite and private group bookings may be subject to a separate written quotation or service agreement.

Unless different terms are stated in that agreement:

  • Deposits are non-refundable;

  • Date changes require reasonable written notice;

  • Venue, travel, material and instructor costs already incurred may be deducted from any approved refund;

  • Final participant numbers may be required before the course; and

  • The client may be responsible for the agreed minimum course charge even when fewer participants attend.

Where a separate agreement conflicts with this general policy, the separate written agreement will govern the group booking.

13. Promotional and Discounted Registrations

Coupons and promotional discounts:

  • Must be applied before payment;

  • Cannot normally be applied retroactively;

  • Have no cash value;

  • Cannot be combined unless expressly stated; and

  • May be subject to expiry dates or course restrictions.

Refunds will be calculated based on the amount actually paid, not the regular advertised price.

14. Refund Processing

Approved refunds will:

  • Be returned to the original payment method whenever reasonably possible;

  • Be initiated after the refund has been reviewed and approved; and

  • Remain subject to payment-processor and financial-institution processing times.

HNS is not responsible for delays caused by a bank, card issuer or payment processor.

Transaction fees that are not returned to HNS by the payment provider may be deducted where permitted by law and clearly disclosed.

15. Chargebacks and Payment Disputes

Participants should contact HNS before initiating a payment dispute or chargeback so that we have an opportunity to investigate and resolve the matter.

Fraudulent or improper chargebacks may result in:

  • Cancellation of the registration;

  • Suspension of certificates or services where legally and contractually permitted;

  • Recovery of chargeback fees and outstanding amounts; or

  • Refusal of future registrations.

This section does not prevent a consumer from exercising legitimate rights through their card issuer or applicable law.
